Workstress If you’re like most people, you spend about eight hours a day, five days a week at your job, whether working in an office or from home. But the question is how much of this time do you spend looking for papers, invoices, receipts, business cards and other items on your desk and around your office?  And “spend” is the right word…because time is money and the costs can add up when you aren’t organized. Getting organized at the office can save you time and money, and with these handy hints you’ll have more of both.

  • Start with a cleaning day. Plan a day to go through the piles of papers, receipts and other items on your desk and get organized. Be sure to have lots of file folders and labels on hand. The trick is to find a place for every piece of paper you touch, even if it goes in the recycling bin.

  • Keep only the essentials on your desk. Minimize the items you have on your desk—mementoes and knick-knacks don’t belong there! Also, remove all loose papers, sticky notes, business cards and other clutter.

  • File your receipts. Simplify tax time by creating files for all monthly bills and receipts in an accordion folder, file box or other system—whatever works best for you. Set aside half an hour each week to do your filing. Stores including Solutions have lots of great tools that can help you get organized.

  • Take an inventory of office supplies. Keep your home office well stocked with supplies so you don’t have to interrupt your day to make a run to the store.

  • Stock up at sales. Check out the flyers for Staples and Office Depot on Flyerland.ca and buy pens, staples, printer paper and more in bulk when they are on sale—and before you run out.

  • Keep your own supplies. When working from a home office, or even in a company, have your own supplies on hand—a stapler, scissors, tape, paper clips and more. Make it a rule that no one touches it (especially the kids!) and put your name on items so you can easily spot them if they go missing. Be sure to get your kids their own supplies so they won’t be tempted to take yours.

  • Assign a place for everything. Be sure to have a place for everything and be diligent about returning each item to this spot when you’re done using it. You will be amazed at how much valuable time you save when you don’t have to search for stuff.
